Summary:

The Contracts Coordinator will actively provide operations support to the Medical Affairs department. Specific areas of support are contract development, accounts payable, grant committee administrator and special assignments as needed

  • The Contracts Coordinator will be responsible for setting-up functional team meetings, tracking action items and developing reports

  • Position will report to the Director of Project Management

Job Responsibilities:

  • Effectively manage functional team meetings, including the scheduling of meetings, the preparation of agendas, the development of meeting minutes, and the follow up on action items as the Grant Service Administrator, including reconciliations

  • Accounts Payable Purchase Order initiation

  • Invoice Service Entries, as well as report generation.

  • Grant Committee Administrator- Run the monthly committee:

  • Meeting Agendas,

  • Meeting Minutes

  • Meeting Action Items,

  • Action Item follow through

  • Medical Affairs Contracts Process Owner (cross functional requirements)

  • Confidential Disclosure Agreements

  • Master Service Agreements,

  • Statement of Work Contracts

  • Consulting Contracts, Advisory Board Agreements,

  • Continuing Medical Education grants

  • Restricted Grants, Investigator Initiated Trial grants

  • Sunshine payment tracking and compliance reporting

Qualifications:

  • Bachelor’s degree preferred with at least 3 years’ of experience in a related field

  • Experience within pharmaceutical is a plus, not a must

  • High volume/fast paced work environment

  • Must be proficient with MS Office Suite

  • Attention to detail

  • Ability to meet tight deadlines and work independently
